Know, may Allah be pleased with you, that employment, by the agreement of the Fuqahaa is an Amaanah placed on the employee which he is expected to deliver and be accountable about. To waste this trust and throw accountability away is not of the traits and qualities of the Believer.
In the scenerio you depicted, what needs to be asked is this: Can the employer reasonably be said to not mind that personal things are done with his Data? Either by express wordings or by implication? If it is safe to deduce that he doesn’t mind, then there is no problem with using it. Or if he is aware that it is used and he didn’t speak the contrary, then there is no problem. But in a situation where it is expressly mentioned by the employer that it should not be used, then there is no permissibility to use it and it would be regarded as theft and a breach of trust.
